What actually changes between 300 pax and 500 pax?

Not the menu. The menu convention holds all the way up: nasi minyak anchors a Malay walimah, briyani anchors an Indian Muslim reception, and the meat dish everybody remembers sits beside it. That does not change because you added two hundred guests.

What changes is time and space.

At 300 pax you can usually run one buffet line and everybody has eaten inside an hour. At 500 that same single line becomes the bottleneck of the whole event — guests queue, the queue backs into the walkway, and the food at the front of the line has been open far longer than the food at the back. The failure at this size is almost never "we ran out". It is "half the hall ate cold food an hour late".

So the planning question stops being how much and becomes how fast, from how many points, and starting when.

How much food do you order for 500 guests?

Order against confirmed RSVPs in the final week, never against the invitation count.

At Malay and Indian Muslim weddings in Singapore the invitation figure and the attendance figure diverge in both directions, and they diverge badly at large numbers. Open-house culture means people come who were never formally invited. Two weddings on the same weekend means invited families split themselves across both. A 500-invitation walimah can serve 380 or 620.

That is why the honest instruction is a method, not a number:

  • Give your caterer the confirmed number, and tell them the spread. "500 confirmed, could swing to 600" is a usable brief. "500" alone is not.
  • Ask whether the quote is per head or per platter. This is the single most common reason two quotes look different when they are not. A caterer quoting a lower headline figure may be counting shared platters rather than per-head servings.
  • Ask what the top-up arrangement is, and by when you must call it. At 500 pax a same-day top-up is a kitchen decision, not a phone call.

Any caterer who gives you a confident grams-per-guest figure without asking about your venue, your serving window and your guest profile is quoting a template, not your event.

What does the four-hour clock do to a 500-pax walimah?

This is the rule most families only learn on the day, and at 500 pax it is the rule that decides everything.

The Singapore Food Agency's published guidance for ordering catered meals is explicit. In its own words: "No food should be kept at room temperature for more than 4 hours from the time it was cooked at the caterer's kitchen to the time it is consumed." And the part families miss: "Remember that during packing, transport and set-up of the buffet, the food is usually kept at room temperature. You and your guests will therefore have less than 4 hours to consume the food."

Three consequences at walimah scale:

  1. Delivery timing is not a convenience, it is the clock starting. SFA advises to "Request for the food to be delivered at most 1 hour before meal time and not earlier than that." A caterer who arrives three hours early to "be safe" has just spent three of your four hours.
  2. The time stamp is a legal document. A time stamp label on packed meals or a time stamp sign on each buffet table has been mandatory since 15 February 2012. SFA is blunt about it: "Do not remove or alter the time stamp sign. It is an offence to do so."
  3. A long event needs staggered delivery, not a bigger first delivery. SFA's own recommendation for events running many hours is to display small portions at a time and "request for the caterer to deliver a second batch of fresh food at a later timing". At 500 pax across a five-hour reception, this is the difference between a legal event and a food-poisoning risk.

One buffet line, or four?

Serving points are the lever nobody prices in.

A single line has to move every guest past every dish. Two lines running the same menu from both ends of a hall roughly halve the queue. Four stations placed around the room stop the queue forming at all, but need more staff, more chafing equipment, and a venue with the floor space and power points to hold them.

Before you decide, walk the venue and count three things:

  • Where the doors are. A serving line that blocks an entrance is a fire-safety problem, not a layout preference.

Void deck. Still the most common Singapore walimah venue and still the most flexible on numbers, because guests flow through rather than sit down at once. It is also the hardest on food safety: open air, ambient temperature, and no controlled environment. Staggered delivery is not optional here.

Community club or function hall. Controlled space, usually with power and a kitchen area, and a hard end time. The hard end time is the useful part — it caps the serving window and keeps you inside the four-hour clock without anyone having to police it.

The two-venue day at 500 pax

Many Singapore Malay weddings are not one event. A bersanding at the bride's side and a bertandang at the groom's side, both in one afternoon, means two deliveries, two set-ups, two separate four-hour clocks, and one guest list walking between them.

How far ahead do you book?

Earlier than you think, and earlier than the food decision feels urgent.

Caterers hold capacity by date, not by order size. A large booking placed late competes with every other event that weekend and usually loses — and at 500 pax there are only so many kitchens in Singapore that can produce it to one standard on one morning.

The registration side runs on its own clock. Under the Administration of Muslim Law Act 1966, in the Ministry of Social and Family Development's words, "All Muslim marriages (where both parties are Muslims) must be solemnised by a Kadi or Naib Kadi at ROMM or at a venue approved by the ROMM and registered with the ROMM."   • Is the quantity quoted per head or per platter?
  • How many serving points and crew are included at this headcount?
  • What is the delivery window, and is a second batch included for a long reception?
  • Will there be a time stamp on each buffet table, and what is the CONSUME BY time?
  • Are you SFA-licensed, and what is your hygiene grade?
  • Is the kitchen MUIS-certified, and can I see the current certificate?
  • What is the final headcount deadline, and what happens if we go over?
  • Who is on site on the day, and what is their phone number?

On the halal question specifically: verify certification yourself through the MUIS directory rather than taking a logo on a website as proof. A caterer who is certified will not mind being checked.
